This Privacy Policy explains how Agraj Services LLP (LLPIN ADC-0589), operating under the brand KhataServe (“KhataServe”, “we”, “us”, “our”), collects, uses, shares and protects personal data when you visit khataserve.in, use the KhataServe app, or talk to us over phone, email, SMS or WhatsApp. We process personal data in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and rules under it.

1. Who is responsible for your data

2. Data we collect

Contact and enquiry details you submit through our forms: mobile number (required), and optionally your name, company name and business type.
Account data when you sign up for the app: name, mobile number, email, business name, GSTIN and billing details.
Business records you enter or upload: customer and supplier ledgers, invoices, purchase orders, inventory, bank statements and GST data. You own this data; we process it only to provide the service to you.
Communication records: messages you exchange with us on WhatsApp, SMS, email or phone, and your messaging preferences.
Technical data: device, browser, IP address and usage logs needed to run and secure the site.

3. How we use your data

To respond to your enquiry and call or message you back.
To create and run your account and deliver our services.
To send service messages — onboarding, account updates, reminders, invoices and support — including over WhatsApp.
To send offers or product updates, only where you have agreed. You can opt out at any time.
To keep the platform secure and prevent fraud.
To meet legal, tax and regulatory obligations.

4. WhatsApp and SMS communication

When you share your mobile number with us, you agree that KhataServe may contact you on that number, including through the WhatsApp Business Platform provided by Meta Platforms, Inc. Messages are sent by Agraj Services LLP under the display name “KhataServe”. To stop marketing messages, reply “STOP” on WhatsApp or write to info@khataserve.com. We may still send messages needed to run an active account. Meta's own handling of WhatsApp data is covered by WhatsApp's privacy policy.

5. Cookies and local storage

We only store non-essential data in your browser after you accept it in our cookie banner. We save your cookie choice in local storage and in a ks_consent cookie for up to 180 days. The demo khata on our site saves its sample data in your browser only, and we remove it if you decline. You can change your choice at any time using “Cookie settings” in the footer.

6. Who we share data with

We do not sell your personal data. We share it only with:

Service providers who host, store or process data for us (cloud hosting, messaging providers such as Meta/WhatsApp, SMS and email providers, payment gateways), under confidentiality obligations.
Government authorities or courts when the law requires it.
A successor entity if our business is merged, acquired or restructured, subject to this policy.

7. Storage, security and retention

We protect data using reasonable security practices such as encryption in transit, access controls and restricted staff access. We keep personal data only for as long as needed for the purposes above or as required by law (for example, accounting and tax records), then delete or anonymise it. Enquiry data from people who don't become customers is deleted within 12 months.

8. Your rights

Under the DPDP Act, 2023 you can:

Access a summary of the personal data we hold about you.
Ask us to correct, complete, update or erase it.
Withdraw consent you have given us.
Nominate another person to act for you.
Raise a grievance with us, and then with the Data Protection Board of India.
